Responsible AI
Process Pilot uses AI to make documenting and governing your business faster — but people stay in control. This page explains what our AI does, its limits, and the safeguards built into the product.
AI assists, people decide
Our AI helps you draft documents to a consistent structure, review and enhance what you already have, and answer questions from your approved repository. It is a productivity tool. Every document is reviewed and approved by a person before it becomes an official, published version.
Not legal or professional advice
Process Pilot uses AI to summarise and reference legislation and regulatory frameworks. This is provided for convenience only and does not constitute legal advice. You are solely responsible for verifying the accuracy, applicability, and currency of any legislation or regulatory content used in your documents. Process Pilot accepts no liability for errors, omissions, or reliance on AI-generated regulatory references.
More generally, AI-suggested content may not be current or applicable to your jurisdiction. It is the document owner’s responsibility to verify accuracy, relevance, and compliance before publishing.
Grounded in your approved knowledge
When the assistant answers a question, it draws from your governed repository — the documentation you have created, reviewed and approved. Good information in, trustworthy answers out. If the underlying documentation is incomplete or out of date, answers can be too, which is why review and maintenance matter.
AI suggestions stay separate from approved content
AI drafts and suggestions are clearly distinguished from approved, published content. Changes move through the same review, sign-off and version-control workflow as any human edit, so there is always a record of who approved what, and when.
Accuracy and limitations
AI can make mistakes, omit important detail, or reflect gaps in the source material. Process Pilot does not guarantee that AI output is accurate, complete or fit for a particular purpose. Treat it as a well-structured first draft to review, not a final authority.
Your data
Your content is processed to provide these AI features to you. We do not use your content to train third-party foundation models, and we share it with AI providers only as needed to deliver the service, under data-protection obligations. Our AI provider (Anthropic) confirms in their API terms that inputs and outputs are not used for model training. See our Privacy Policy for the full sub-processor list.
Governance that supports responsible use
- Human review and approval before any document is published.
- Version control and immutable published versions for a defensible audit trail.
- Role-based access so the right people control the official record.
- Scheduled reviews so documentation is revisited before it drifts out of date.
